Skippers must submit a crew declaration that covers all bodies on board before race commencement when competing in any KYC sailing event
For all KYC sailing events the crew declaration is submitted on Sailsys.
As prerequisites on Sailsys:
- the boat must be registered
- the boat must be entered for the particular KYC event
- each crew member must be invited to join the boat's Crew Register where:
- crew scans a copy of the boat's crew invitation QR code from the Crew Register Page or
- skipper or alternate boat admin sends an invite to to crew's email from the Crew Register page
- this is a one time action and holds until the skipper removes the crew from the crew register
- each crew member must accept the invite to the boats' Crew Register
- acceptance is a one action for each boat invitation
- scanning boat's crew invitation QR code
- clicking link in the boat's crew register invitation email
- the first time visit for a crew member prompts to create a SailSys account which requests entry of
- emergency contact details,
- club details and
- the Australian Sailing Number via 'Australian Sailing' in the Affiliations drop down
- the crew member can maintain their personal details at any time. Updates are immediately reflected in all crew lists and related boats' crew declarations
For each event the skipper or alternate boat admin
- select the 'Manage Crew' option on the SailSys dash board
- in any entered event ( and before race start)
- select or deselect the crew from the Crew Register as is necessary; or
- select the 'copy crew from last race' option
As the Crew Register is updated crew will be able to see their scheduled races appear under 'Races and Entries' selection in their SailSys account.
The Crew Declaration is connected to the race by name on Sail Sys it may be completed anytime before the event commencement. It is the skippers responsibility to ensure the Crew Declaration is accurate before event commencement.
The Crew Declaration is an important compliance document for KYC and our umbrella organisation, Australian Sailing, covering many issues from basic safety at sea and club insurance through to mutual commitments to codes of conduct
